Office Manager – Riyadh / Jeddah
A leading international firm is seeking an experienced Office Manager to oversee day-to-day office operations and administrative support in Riyadh or Jeddah. The ideal candidate will be organized, proactive, and able to manage multiple responsibilities while maintaining a professional and service-oriented approach.
Key Responsibilities
Manage office suppliers, service contracts, and vendor relationships (e.g., maintenance, cleaning, stationery, courier, travel, equipment, utilities, etc.)
Ensure timely renewal of office licenses, insurance, and supplier agreements.
Handle general office maintenance issues and coordinate with vendors for repairs or services.
Supervise the reception area, office assistants, and drivers to ensure smooth daily operations.
Maintain document archiving systems and keep records up to date.
Arrange staff seating plans, office moves, and coordinate new joiner setups (IT access, nameplates, business cards, inductions, etc.).
Support business continuity plans by maintaining emergency contact lists, updating procedures, and organizing periodic tests.
Ensure compliance with health and safety standards, including servicing fire extinguishers and maintaining evacuation plans.
Assist with meeting room bookings, courier arrangements, and other administrative support as needed.
Maintain updated contact lists for staff and regional offices.
Perform additional administrative tasks to support office operations when required.
Qualifications & Experience
Bachelor’s degree preferred.
Minimum 4–7 years of experience in office administration, facilities, or operations management.
Strong knowledge of MS Office (Word, Excel, Outlook).
Excellent communication skills, both written and verbal.
Proven ability to manage multiple priorities and meet deadlines.
Strong interpersonal skills with the ability to coordinate across departments and interact with senior management.
Experience managing vendors, service providers, and maintenance contracts.
Professional appearance and a “can-do” attitude with strong attention to detail.
