We are seeking an experienced and meticulous Group Administrator to be the central hub for administrative and operational support across all TMS Group companies. This role is essential to ensuring smooth, efficient, and cohesive operations throughout our diverse business portfolio.
Key Responsibilities:
Office Management: Oversee the day-to-day administrative operations of the main office, ensuring an organized and professional environment. Manage office supplies, equipment, and vendor relations.
Documentation & Filing: Establish and maintain comprehensive physical and electronic filing systems for all group companies’ official documents, contracts, licenses, and correspondence. Ensure data integrity and easy retrieval.
Communication Hub: Act as the primary point of contact for internal and external communications, professionally handling incoming calls, emails, and visitors for the group.
Logistics & Coordination: Coordinate meetings, travel arrangements, and appointments for senior management across the different business units (e.g., scheduling a meeting between the Fit-Out and IT teams).
HR Support: Assist with basic HR administration, including maintaining employee records, coordinating new hire onboarding paperwork, and managing attendance logs.
Basic Financial Support: Process expense reports, manage petty cash, and liaise with the accounting department to ensure timely submission of administrative documentation.
Compliance & Licensing: Ensure all company licenses, permits, and governmental registrations are up-to-date and managed effectively across all business sectors.
Qualifications & Skills:
Proven Experience: Minimum of 3-5 years of experience in an administrative or executive assistant role, preferably within a Group of Companies or a multi-sector business environment.
Education: A Bachelor’s degree or Diploma in Business Administration, Office Management, or a related field.
Technical Proficiency: Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office management software.
Organizational Skills: Exceptional ability to multitask, prioritize tasks, and manage time effectively with a high degree of attention to detail.
Communication: Excellent written and verbal communication skills in both English and Arabic is highly preferred.
Proactive Attitude: A self-starter who can anticipate needs, solve problems independently, and work effectively with minimal supervision.
Confidentiality: Demonstrated ability to handle sensitive information and maintain strict confidentiality.
