Urgent Need for Eastern Province
Position: Administrative Support / Administrative Assistant
Nos: 02
Responsibilities:
• Manage and maintain vendor registration requirements across client, government, and private sector portals.
• Prepare, organize, and submit documents required for vendor registration and prequalification processes.
• Coordinate with internal departments to collect and verify supporting documents.
• Monitor the status of vendor registrations, renewals, and prequalification submissions.
• Maintain accurate records and trackers related to vendor registration and prequalification activities.
• Coordinate with portal administrators and clients regarding registration requirements, updates, and document submissions.
• Support the company’s registration and accreditation through portals such as Saudi Aramco, Maaden, Sadara, and other vendor management platforms.
• Prepare, organize, and maintain administrative documents, records, and correspondence.
• Perform data entry and maintain accurate databases, logs, and trackers.
• Assist in preparing reports, letters, forms, and other administrative documents.
• Ensure proper filing and organization of department records.
• Maintain physical and electronic filing systems.
• Scan, archive, retrieve, and organize company documents and records.
• Ensure proper document storage, record retention, and accessibility.
• Maintain document logs and administrative records as required.
• Assist in scheduling meetings and preparing meeting arrangements.
• Support administrative projects and office operational requirements when assigned.
• Bachelor’s Degree in any field.
• Previous experience in administration, document management, vendor registration, or related administrative functions is an advantage.
• Proficient in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
• Good organizational, communication, and coordination skills.
• Ability to manage multiple tasks and work under pressure.
• Good written and verbal communication skills in English.
