Position Overview:
As Sales Coordinator, candidate will be responsible to handle a role in managing the end-to-end flow of sales inquiries, ensuring seamless coordination between sales, operations, and management. His role also includes supporting executive tasks for the Division Manager and contributing to high-value business initiatives including tender submissions and strategic reporting.
Key Responsibilities:
1. Inquiry & Sales Coordination
• Receive and log all incoming sales inquiries (email, phone, website, walk-ins).
• Assign inquiries to the appropriate sales personnel for inspection/site visit.
• Follow up on inspections and ensure timely preparation and submission of quotations.
• Maintain a centralized log of all inquiries, client follow-ups, and closure status.
• Assist sales team in preparing estimates and proposals for both residential & commercial clients.
2. Client & Internal Communication
• Draft and send client emails on behalf of the sales team or Division Manager.
• Maintain regular follow-ups with clients regarding submitted quotes and clarifications.
• Coordinate internally with operations, accounts, and admin for smooth client handling.
3. Managerial Assistance
• Prepare Minutes of Meetings (MoM) for Division Manager’s internal and external meetings.
• Arrange the calendar, meeting schedules, and follow-ups for the Division Manager.
• Act as a liaison between the Division Manager and other departments, clients, and vendors.
4. Tender & Documentation Support
• Assist in preparing technical and financial tender documents (govt & private).
• Compile supporting documents, coordinate printing/binding, and ensure submission deadlines are met.
• Maintain tender file records (soft and hard copies) and update status regularly.
• Research tender requirements and regulations to ensure full compliance.
5. Business Development Unit Participation
• Support business growth initiatives across multiple service divisions (Pest Control, Cleaning, Security, MEP, Fire & Safety).
• Collaborate with cross-functional teams on lead generation, pipeline reporting, and new market exploration.
• Support marketing initiatives by aligning campaign follow-up with sales targets.

Inquiry Handling 100% response within 24 hours
Proposal Preparation Quotations sent within 48 hours post-inspection
MoM & Calendar Management 100% timely and accurate documentation
Tender Participation Zero missed deadlines
Internal Coordination Effective communication with all stakeholders
Required Skills & Attributes:
• Strong verbal and written communication skills
• Knowledge of pest control or facility services is an advantage
• Proficiency in MS Office, email correspondence, and scheduling tools
• Strong organizational and time management abilities
• Attention to detail and proactive mindset
• Fluent in English.
