Female Purchase Assistant Manager

ABCO Trading Company is hiring Female Purchase Assistant Manager in a ABCO trading company, In Saudi Arabia from Jeddah, Riyadh and Dammam. We are hiring!

A leading trading company is seeking a motivated, detail-oriented Female Purchase Assistant Manager to join our growing team. If you have a passion for procurement and a knack for negotiation, this could be the perfect opportunity for you!

Primary Purpose of the Role:

To assist the Advertising Purchase Manager in coordinating and executing the acquisition of advertising and marketing materials, managing vendor relationships, monitoring budgets, and ensuring timely delivery of promotional content across various channels.

Responsibilities:

1. Vendor & Supplier Coordination

• Assist in researching, selecting, and maintaining relationships with advertising vendors (e.g., media agencies, designers, printers).

• Collect and compare quotations from different suppliers.

• Follow up on purchase orders and ensure timely delivery of materials.

2. Advertising Material Management

• Support the development and distribution of promotional materials (banners, catalogs, brochures, digital ads).

• Maintain inventory of marketing materials.

• Ensure that all advertising materials meet brand guidelines.

3. Budget Monitoring

• Track advertising and promotional budgets under the manager’s supervision.

• Prepare basic reports on spending vs. budget.

4. Campaign Coordination

• Help coordinate logistics for advertising campaigns, including timelines, approvals, and deliveries.

• Liaise with internal teams (sales, logistics, procurement) to align campaign materials with business goals.

5. Documentation & Admin Tasks

• Prepare purchase orders, contracts, and invoices related to advertising.

• Maintain a well-organized filing system (physical and digital).

• Assist in preparing presentations or reports for internal meetings.

Key Skills & Competencies:

• Basic understanding of advertising and procurement processes

• Strong organizational and multitasking skills

• Good communication (internal & external)

• Proficiency in Excel, Word, and email systems

• Detail-oriented and deadline-driven

• Familiarity with basic budgeting

• Preferred Qualifications:

• Bachelor’s degree in Marketing, Business Administration, or a related field

• Experience in a trading company or advertising department is a plus

• Familiarity with ERP or procurement software is an advantage

• Daily Workflow Example

Task

Check and respond to emails from suppliers/agencies

Update advertising purchase tracking sheet

Assist in preparing a purchase order for print media

Follow up with the graphic designer on brochure draft

Attend internal meeting on upcoming trade show

Compare quotes from two new media agencies

Submit daily report to Advertising Purchase Manager
