Logistics, Shipping & Administration Officer
Qualifications & Skills
• Diploma/Bachelor’s degree in Logistics, Supply Chain Business Administration, or related field.
• Minimum 3 years’ experience in logistics (shipping documentation), warehousing and admin operations.
• Strong knowledge of ERP systems and MS Excel.
• Excellent communication and coordination skills.
• Language Proficiency – English & Hindi mandatory.
• Attention to detail and ability to multitask.
Key Responsibilities
1. Logistics & Shipping
– Coordinating with the shipping lines company for the booking confirmations and release orders for containers.
– Coordinate with transporters, shipping lines, and forwarders to ensure timely loading and shipment of containers.
– Communicate with customers and provide all required shipping documents without delay.
– Prepare and coordinate with the concerned team for all supreme council and customs approvals and legal documents for the export and import of the goods.
– Arrange transport for export and import materials to the factory.
– Organize transport for scrap loading as per management requirements and ensure correct materials are loaded; prepare reports based on sold quantities.
– Coordinate with the yard foreman to ensure safe, accurate and timely loading activities.
– Send all shipping documents to customers and maintain accurate records.
– Assist clients visiting the facility during confidential document shredding.
– Provide timely updates and reports to the Manager.
2. Receiving & Dispatch
– Collect daily collection reports from the weighbridge and enter data into the ERP
system.
– Verify collection reports site-wise and driver-wise.
– Notify any missed sites and obtain clarifications from drivers and droppers.
– Enter all collection data in Excel and ERP daily.
3. Administration
– Monitor employee attendance and maintain daily attendance records, including overtime verification in ERP.
– Ensure all employees follow proper safety measures.
– Check expiry dates of safety equipment system, fire extinguisher etc. and notify relevant teams.
– Conduct regular walkthroughs the warehouse sorting and baling area to encourage productivity and maintain safety.
– Provide weekly safety training to all employees.
– Monitor daily material intake and report discrepancies to the Manager.
– Inspect bailers, forklifts and other machinery inside the factory & coordinate maintenance when required.
– Prepare purchase requisitions and coordinate with the Finance Department for purchase orders.
– Prepare monthly supplier collection reports and share to them as required.
– Process customer payments in ERP upon receiving invoices.
– Monitor the employee attendance, overtime and shift allocations.
– Maintain custody of uniforms, safety shoes and PPE; distribute as approved from Manager.
– Monitor minimum stock levels of PPE and office supplies.
– Support employees with any health concerns during working hours.
– Maintain timely communication and reporting to the Manager.
– Arrange office cleaning materials and ensure required office supplies (including printer cartridges) are available.
4. Petty Cash Management
– Handle petty cash expenses and maintain accurate entries in the ERP system.
– Prepare petty cash summaries and submit them to the Manager on time.
– Ensure minimum cash availability to pay suppliers promptly.
– Release supplier payments with Manager Approval.
– Prepare petty cash reimbursement requests for Head Office.
5. Stock Control
– Monitor and maintain inventory levels.
– Conduct regular stock counts (daily, weekly, monthly) and reconcile discrepancies.
– Update inventory records accurately in ERP or stock management software.
– Ensure proper labeling, storage and organization of stock.
– Maintain records of stock inflow and outflow.
– Generate inventory and stock performance reports (e.g., slow-moving items, shrinkage).
– Coordinate with warehouse staff for loading, unloading and stock placement.
– Maintain a clean, safe and compliant warehouse environment.
– Preparing and sending all the monthly reports related to the stock to the management. (Sales Report, Recyclable Material Collection Report, Scrap Sales Report).
Salary: BHD 300-400 (Negotiable)
