Company Overview

We are a small but active trading company with a strong sales presence in the market. Our business is primarily focused on project-based sales, which requires frequent project site visits, preparation and submission of technical and commercial approvals, and close coordination with clients and suppliers.

As a trading company, we also operate a warehouse (in Khalidiya Area), handling the receipt, storage, and dispatch of various materials on an ongoing basis.

Position: Sales Coordinator

We are seeking a hard-working and well-organized Sales Coordinator to support our sales and operations activities in the following areas:

Key Responsibilities

1. Prepare sales quotations in accordance with the Sales Director’s instructions and follow up with clients when required.

2. Prepare proforma invoices to facilitate advance payments from clients.

3. Issue and manage purchase orders with suppliers and ensure delivery schedules align with agreed client delivery terms.

4. Coordinate with logistics and transportation companies for material deliveries from suppliers, warehouse dispatches, and deliveries to project sites.

5. Prepare and issue sales invoices for delivered materials.

6. Maintain proper filing and archiving of project documents, quotations, invoices, approvals, and related correspondence for future reference.

7. Assist in tracking order status, deliveries, and pending payments, and report updates to the sales team.

8. Support project site visits for material inspections, delivery coordination, and approval follow-ups when required.

9. Coordinate with the warehouse to ensure accurate receiving, dispatching, and stock movement records.

10. Communicate with clients and suppliers regarding documentation, delivery schedules, and required approvals.

11. Ensure compliance with company procedures and maintain accurate records for audits and internal reviews.

Candidate Requirements

The ideal candidate must:

1. Be proficient in handling and editing PDF and various MS files.

2. Have a strong working knowledge of Microsoft Office (Word, Excel, Outlook).

3. Hold a valid driving license; a company pickup vehicle will be provided for site visits, supplier visits, and warehouse operations.

4. Be physically fit and willing to travel within the Kingdom when required.

5. Be well-organized, detail-oriented, and capable of handling multiple tasks simultaneously.

6. Demonstrate good communication skills and a cooperative attitude when dealing with clients, suppliers, and internal teams.
