Job Purpose
The Tendering & Procurement Assistant supports the preparation, coordination, and submission of EOIs, PQQs, and technical and commercial tenders. The role also provides limited procurement assistance focused on monitoring, logging, and maintaining procurement-related information. The position ensures accurate documentation, compliance with requirements, and timely submissions in accordance with company procedures.
Key Responsibilities
Tendering, EOIs & PQQ Support
• Assist in the preparation, compilation, and submission of Expressions of Interest (EOIs), Pre-Qualification Questionnaires (PQQs), and tender documents.
• Coordinate with internal departments to collect required information, certifications, and inputs for EOIs, PQQs, and tenders.
• Maintain schedules and track deadlines for EOIs, PQQs, and tender submissions.
• Review submission documents for completeness, formatting, and compliance with stated requirements.
• Support the Head of Technical Proposals in organizing technical documentation, specifications, and clarifications.
• Track correspondence, clarifications, addenda, and outcomes related to EOIs, PQQs, and tenders, ensuring proper documentation and circulation.
Procurement Monitoring & Information Management
• Monitor and log procurement-related information received from buyers.
• Record buyer communications, updates, and instructions in procurement logs.
• Maintain and update supplier databases, including approved vendor information and contact details.
• Log supplier registrations, updates, and prequalification information as received.
• Ensure procurement information is accurately documented and easily retrievable.
Documentation & Administrative Support
• Maintain organized records for EOIs, PQQs, tenders, procurement logs, and related documentation.
• Prepare basic reports and status summaries when required.
• Ensure confidentiality, version control, and proper document management.
• Support internal reviews and audits through accurate and up-to-date record keeping.
Qualifications
• Diploma in any discipline.
• 1–3 years of experience in tendering, proposal support, procurement administration, or a similar role
• Basic knowledge or understanding of EOI, PQQ, tendering, and procurement processes.
• Willingness to learn and follow established procedures.
Skills & Competencies
• Strong attention to detail and accuracy.
• Good organizational and time management skills.
• Basic proficiency in MS Office (Word and Excel).
• Clear written and verbal communication skills.
• Ability to work under supervision and meet deadlines.
