HOA Administration & Governance

Manage the day-to-day operations of assigned HOA communities.

 Ensure compliance with HOA bylaws, declarations, community rules, and regulations.

 Implement policies and resolutions approved by the HOA Board.

 Organize and attend HOA Board Meetings, Annual General Meetings (AGMs), and Special Meetings.

 Prepare meeting agendas, reports, presentations, and minutes.

 Advise Board Members on governance matters and operational decisions.

 Maintain official HOA records, contracts, licenses, and documentation.

 Ensure compliance with applicable local laws, regulations, and community governance requirements.

Community Operations Management

 Oversee all common area operations and community facilities.

 Ensure cleanliness, safety, and proper maintenance of community assets.

 Conduct regular inspections of buildings, common areas, and facilities.

 Monitor landscaping, housekeeping, security, waste management, and maintenance services.

 Identify operational deficiencies and implement corrective actions.

 Coordinate with Facility Management teams to maintain service excellence.

 Ensure community facilities are operating efficiently and safely.

Financial Management

 Assist in preparing annual HOA operating and reserve budgets.

 Monitor expenditures and ensure spending remains within approved budgets.

 Review invoices, purchase requests, and service contracts.

 Monitor service charge collections and outstanding payments.

 Coordinate with the Finance Department regarding HOA accounts and financial reporting.

 Analyze operational costs and recommend cost-saving initiatives.

 Prepare financial summaries and reports for the HOA Board.

Vendor & Contract Management

 Manage third-party service providers and contractors.

 Participate in tendering, bidding, and procurement processes.

 Evaluate contractor performance against Service Level Agreements (SLAs).

 Review contracts and ensure compliance with contractual obligations.

 Coordinate contractor mobilization and project execution.

 Resolve contractor-related issues and performance concerns.

 Ensure vendors maintain required licenses, certifications, and insurance coverage.

Resident & Customer Relations

 Serve as the primary point of contact for homeowners and residents.

 Address resident complaints, inquiries, and service requests promptly.

 Resolve disputes professionally and fairly.

 Promote community engagement and resident satisfaction.

 Conduct community awareness and communication initiatives.

 Maintain positive relationships with homeowners, tenants, and stakeholders.

 Ensure timely communication of community notices and updates.

Maintenance & Capital Improvement Projects

 Coordinate preventive and corrective maintenance activities.

 Monitor community improvement and refurbishment projects.

 Assist in planning long-term capital expenditure programs.

 Conduct site inspections to identify repair requirements.

 Ensure maintenance works are completed according to specifications.

 Monitor project budgets, timelines, and quality standards.

 Report project progress to management and HOA Boards.

Compliance & Risk Management

 Ensure compliance with health, safety, environmental, and community regulations.

 Monitor risk factors affecting the community.

 Coordinate emergency preparedness and response plans.

 Ensure proper insurance coverage for HOA assets.

 Investigate incidents and prepare incident reports.

 Implement risk mitigation measures to protect residents and assets.

 Ensure adherence to company policies and procedures.

Reporting & Documentation

 Prepare monthly operational and management reports.

 Submit Board reports and community performance updates.

 Maintain accurate records of inspections, complaints, contracts, and maintenance activities.

 Track key performance indicators (KPIs).

 Provide recommendations for service improvements and operational efficiency.

 Maintain document control and record retention systems.
